QuickBooks Online: How to Upload Transactions Manually?

QuickBooks Online: How to Upload Transactions Manually: QuickBooks Online (QBO) is a cloud-based software and we can use the SYNC function to connect bank accounts and credit cards into QBO and get the transactions to feed automatically.

So why we have to Upload Transactions Manually?

The following are the reasons…

  •  Upload Historical Transactions – For some banks, when we sync it only allows us to download up to 12 months back, in this case, we need to do a manual upload to get the transactions prior to 12 months period.
  • When we do not have Online Access to accounts – Sometimes we have to use bank statements to do the upload as we don’t have online access for bank accounts (including the credit cards). So, we have to do a manual upload for this purpose.
  • Broken Sync – Sometimes sync function is not working 100% and transactions are missing or omitted when the sync happened. So, we need to find out what Is missing and do an upload before do the bank reconciliation.

How to Upload Transactions Manually?

Basically, there are two methods

  1. Download and upload the .qbo file from directly from the bank
  2. Upload the .csv file (Download the transactions history and prepare it as an uploadable file then upload.
Upload the .qbo file from directly from the bank

Follow the steps…

1. How to download .qbo file
  • Log into the Bank
  • Account Activity
  • Select the correct bank account
  • Select the relevant date range

  • Download QuickBooks supported file

2. Upload to QuickBooks
  • Log into QuickBooks
  • Banking Dashboard
  • Click on the Dropdown Menu – Update

File Upload – Browse and upload the file

  • Select the correct bank account

  • Finish the Upload!
Upload the .csv file (Download the transactions history and prepare it as an uploadable file then upload

Follow the steps…

1. How to download .csv file
  • Log into the Bank
  • Account Activity
  • Select the correct bank account
  • Select the relevant date range
  • Download the .csv file
After downloading we need to do few changes to the .csv file
  • We only need 3 columns (Date, Description and Amount) Remove all other columns

Cell formats

  •  Date format  – Date 
  • Description    – General
  • Amount          – Text

2 Upload to QuickBooks
  • Log into QuickBooks
  • Banking Dashboard
  • Click on the Dropdown Menu – Update
  • File Upload – Browse and upload the file
  • Select the correct bank account
  • Map CSV columns to QBO


  • Accept Transactions and Finish the Upload!
